The role of the conference management organiser is to co-ordinate, guide and direct all resources both human and technical, which are essential for a successful conference to take place. The demands of today's conference committees are becoming ever more sophisticated and time consuming and companies like Destination Ireland are able to provide all the necessary specialisation's and technology needed.

DESTINATION IRELAND provides a comprehensive management service, which includes the following services:

FINANCIAL PLANNING AND BUDGETING

At the initial stages of the planning process a draft budget will be produced for the organising committee. This gives a clear indication of the likely income and expenditure of the proposed conference. Strict financial control will be maintained throughout the organising of the conference. A reconciled income and expenditure account will be presented to the committee on completion of the conference or meeting.

VENUES

Destination Ireland will attend to the reserving of ancillary requirements based on the Organising Committee's decisions. We will arrange all agreed social events and attend to the reservations of appropriate venues.

PRINT

Destination Ireland will arrange for all the printing of all brochures, programmes, registration forms, documentation etc., as instructed by the organising committee. We will provide a design service to develop an appropriate graphic image for the conference and ensure all printed material; signposting and other display materials are of a uniformly high standard. We will provide appropriate announcements and registration forms together with the final programme and if necessary an accompanying persons programme. We will arrange the printing and distribution of speakers' papers and final participants' lists. We will produce receipts and hotel vouchers. Approval for cost of printing will be obtained from the organising committee and will be provided for in the budget.

TRANSPORT

Destination Ireland will arrange special coach transport based on the programme and expected attendance, and for sightseeing tours etc.

ACCOMMODATION AND TRAVEL

Destination Ireland will reserve and hold block bookings in hotels as indicated by the organising committee. We will arrange with airlines and provide inclusive air and hotel cost saving arrangements.

AUDIO VISUAL AIDS

In line with the requirements of speakers we will ensure that all necessary audio visual and computer equipment is available at the conference venue and other locations as required. In particular we will arrange appropriate equipment and facilities for interpreters if required.

CONTROL OF REGISTRATIONS

These will be received, processed and entered in our computer, as agreed regular reports on monies received, numbers attending and analysis of all items detailed on the registration form will be provided. Receipts and acknowledgements will be issued without delay. We will also design a web site for the conference and the participants may register on line for the conference.

REGISTRATION BUREAU

Destination Ireland will provide experienced conference staff to control registration procedures for the duration of the conference and we will be in attendance at all social functions to ensure the smooth running of these events. The registration bureau will remain open throughout the conference. Ancillary services will be present at the registration bureau as required.

OPTIONAL TOURS

Optional tours will be arranged as included in the programme of events.

PRE AND POST CONFERENCE TOURS

Destination Ireland will arrange pre and post tours as requested by the organising committee.

COMMITTEE MEETINGS

Destination Ireland will attend all committee meetings to offer our expertise in conference management and to direct the programme of events and establish deadlines. Updated reports on the status of the conference will be provided.

DAY TO DAY SERVICES

Destination Ireland will attend to routine correspondence and deal with telephone, facsimile and email enquiries. We will provide a secretarial back-up service for administration purposes. We will repeatedly visit hotels, venues and other agents to discuss ongoing details of the programme. We will continuously control the financial aspects of the conference.

MANAGEMENT FEE

Destination Ireland charge a management fee for organising the conference or meeting. We will ensure that the participants will not be charged more than the full or front desk rate for their hotel rooms, in most cases we can negotiate a special hotel rate. No expense will be incurred in excess of those provided in the budget without the express approval of the organising committee in advance. Telephone, Facsimile and Postal costs will be charged separately and specific provision in respect of these charges will be made in the budget and agreed with the organising committee.
